DocuWare QuickStart for a first departmental win

Mid-market and regional organizations often live with DIY filing or single-department sprawl. The controlled first win is one department, one named process, live on DocuWare in 30–60 days — with written success criteria and a single approval path.

Then Care Lite, Dept Rollout, and Care Standard on Rollout. Not a multi-department big-bang.

The path

  1. Step 1

    QuickStart

One department and one named process live on DocuWare, with written success criteria and a single approval path.

    30–60 days (planning window)
  2. Step 2

    Care Lite

Light ongoing support after the first win — the recommended attach to QuickStart.

  3. Step 3

    Dept Rollout

Expand after QuickStart success — still disciplined, not multi-department big-bang. Care Standard attaches on Rollout.

Written into the QuickStart framing
  • One department
  • One process
  • Single approval path (standard workflow)
  • Written success criteria (process, department, go-live definition)
  • Engagement window framed at 30–60 days — a planning window, not a service-level promise

Standard connectors only. Hypercare is bounded; ongoing support continues through Care Lite, Care Standard or time-and-materials — never an unpaid tail.

Common questions

Can you roll out every department in one project?

Not as QuickStart. Land one department and one process, then expand through Dept Rollout. That sequence is how DocuWare programs stay controlled.

We’re fine with shared drives — why change?

If you cannot name a process, an owner and a win condition inside 30–60 days, the honest answer is nurture or disqualify. When you can, QuickStart makes that first win concrete.

Doesn’t generative AI replace a document management system?

It is the wrong comparison. Generative AI does not provide controlled filing, retention and approval workflow — DocuWare does. The two can coexist; one does not replace the other.

What happens after the first win?

Care Lite is the recommended attach, then Dept Rollout when you are ready, with Care Standard on Rollout. No unpaid tail after hypercare.

Who else like us have you worked with?

We do not publish client names. We can walk through anonymized scenarios and the method we use; named references require approval on both sides.

Is DocuWare or OpenText the side practice?

Neither. ECM Tek runs both as peer practices with equal weight — on this site, in how we route conversations, and in how we staff.
